Job Title: Office Manager/Office Executive (HR & Admin Executive)
Job Summary:
The HR & Admin Executive is responsible for providing comprehensive support in human resources and administrative functions. This role requires a deep understanding of local labor laws, effective management of HR and administrative activities, and ensuring smooth daily operations of the organization.
Experience Requirements:
Key Responsibilities:
A. Recruitment and Staffing:
- Collaborate with local and regional hiring managers to identify staffing needs and develop tailored job descriptions and recruitment strategies.
- Source candidates through job boards, recruitment agencies, and social media platforms.
- Screen and shortlist applicants, conduct initial interviews, and coordinate subsequent interview rounds.
- Manage the end-to-end recruitment process, from offer generation to onboarding, ensuring compliance with local employment regulations.
B. Employee Relations:
- Act as a point of contact for employees regarding HR-related inquiries, concerns, and grievances.
- Foster a positive work culture and employee engagement across locations.
- Address employee disciplinary issues and conflicts in line with company policies and local labor laws.
- Conduct exit interviews and analyze feedback to improve workplace environment and HR processes.
C. Performance Management:
- Assist in the design and implementation of performance management systems.
D. Compensation and Benefits:
- Administer compensation and benefits programs, ensuring compliance with local laws and market competitiveness.
- Provide employees with accurate information regarding their compensation and benefits and resolve related inquiries or disputes.
E. HR Compliance:
- Stay updated on evolving labor laws, regulations, and tax requirements.
- Ensure that all HR policies, procedures, and employment contracts comply with local legal frameworks.
- Coordinate with legal advisors and authorities as needed, and manage HR-related audits or inspections.
F. Administrative Support:
- Oversee office facilities, ensuring proper maintenance and functionality.
- Manage procurement of office supplies and inventory, optimizing costs and ensuring availability.
- Coordinate travel arrangements, visas, and work permits for employees traveling internationally.
- Organize and manage company events, meetings, and conferences, considering local customs and preferences.
Qualifications:
Education:
- Degree in Human Resources, Business Administration, or a related field.
Experience:
- Minimum of 3-5 years of experience in HR and administrative roles, preferably in a multicultural environment.
Skills:
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees and stakeholders from diverse cultural backgrounds.
- Strong organizational and multitasking abilities, able to manage multiple priorities and deadlines.
- Proficiency in English and Chinese.
- Knowledge of local HR compliance and basic administration.
- Strong problem-solving and decision-making skills, capable of handling complex HR and administrative issues in a fast-paced, multicultural environment.
