Position Overview:
The Purchase Executive is responsible for overseeing procurement activities within the FMCG or Pharma industry. This includes sourcing suppliers, negotiating contracts, managing inventory levels, and ensuring the timely acquisition of goods and services to meet company needs. The role focuses on optimizing cost and quality while maintaining strong supplier relationships and ensuring compliance with company policies and industry regulations.

Key Responsibilities:
Supplier Management:
- Identify and evaluate potential suppliers to ensure cost-effectiveness and quality.
- Develop and maintain strong relationships with existing suppliers to ensure continuous supply and resolve any issues.
- Negotiate favorable terms, pricing, and contracts with suppliers.
- Monitor supplier performance and handle any issues or disputes to maintain a smooth procurement process.
Procurement Strategy:
- Develop and implement procurement strategies aligned with company goals and objectives.
- Analyze market trends and industry developments to identify opportunities for cost savings and process improvements.
- Ensure compliance with company policies and industry regulations to avoid procurement risks.
Purchase Orders and Inventory Management:
- Oversee the creation, processing, and tracking of purchase orders.
- Monitor and forecast inventory levels to ensure optimal stock without overstocking or stockouts.
- Coordinate with inventory and warehouse teams to effectively manage stock.
Cost Management:
- Monitor and control procurement budgets to meet financial targets.
- Identify cost reduction opportunities and implement strategies to enhance procurement efficiency.
- Prepare and present cost analysis reports and provide recommendations to senior management.
Quality Assurance:
- Ensure purchased products meet established quality standards and regulatory requirements.
- Address and resolve any quality issues that arise with suppliers, ensuring minimal disruption to operations.
- Conduct regular audits and performance evaluations of suppliers to maintain quality assurance.
Documentation and Reporting:
- Maintain accurate and up-to-date records of purchase orders, supplier agreements, and other procurement-related documents.
- Prepare regular procurement reports, including cost analysis, supplier performance, and inventory levels.
- Provide insights and data-driven recommendations to senior management based on procurement activities.
Team Management:
- Supervise and mentor procurement staff, ensuring efficient team operations.
- Provide training, support, and guidance to team members to enhance their skills and overall performance.
- Foster a collaborative and productive work environment to meet organizational objectives.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field. A Master’s degree or professional certifications (e.g., CPSM, CPP) is a plus.
- 4-7 years of experience in procurement or purchasing, preferably in the FMCG or Pharma industry.
- Strong knowledge of procurement processes, supplier management, and inventory control.
- Excellent negotiation, communication, and interpersonal skills.
- Ability to analyze market trends, data, and supplier performance.
- Experience using procurement software (SAP, ERP, etc.).
- Proficiency in Microsoft Office Suite and other procurement software tools.
- Strong organizational and problem-solving skills with attention to detail.
Working Conditions:
- Office-based environment with occasional travel to supplier sites or other company locations.
- May require extended hours during peak periods or special projects.
