Job Summary
The Executive Assistant (EA) to the Managing Director plays a critical role in supporting the MD across strategic, operational, and administrative functions. This position demands a highly organized, proactive, and professional individual who can manage complex responsibilities while maintaining the highest level of confidentiality, discretion, and authority.
Experience Requirements:
Key Responsibilities
1. Executive Support
Manage and maintain the MD’s calendar, scheduling meetings, appointments, and travel.
Coordinate and prepare for internal and external meetings, including agendas, presentations, and minutes of meetings (MoM).
Act as the primary point of contact for internal and external stakeholders on behalf of the MD.
Screen, prioritize, and manage phone calls, emails, and correspondence.
2. Administrative Support
Draft, edit, and format reports, presentations, and official communications.
Organize and maintain files, records, and documentation (physical and digital).
Handle confidential and sensitive information with absolute integrity and discretion.
Assist with special projects and ensure timely completion of deliverables.
3. Meeting & Event Coordination
Organize board meetings, leadership meetings, offsites, and corporate events.
Prepare and circulate meeting materials in advance and track post-meeting action items.
4. Travel Management
Plan and coordinate complex domestic and international travel itineraries, including flights, accommodation, visas, and local transportation.
5. Strategic & Business Support
Conduct research and compile data to support decision-making and strategic planning.
Track key action items and follow up on deliverables arising from meetings.
Assist in drafting strategic communication, briefing notes, and leadership documents.
Qualifications & Requirements
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Minimum 10+ years of experience as an Executive Assistant or similar role supporting C-level executives.
Exceptional organizational, multitasking, and time-management skills.
Strong written and verbal communication abilities.
High proficiency in MS Office, Power BI, and virtual collaboration tools.
High standards of professionalism, confidentiality, and attention to detail.
Ability to work efficiently in a fast-paced, high-pressure environment.
