Job Summary
The Executive Assistant will provide high-level administrative, coordination, and operational support to senior management in a road construction and infrastructure development organization. This role requires exceptional organizational skills, discretion, and the ability to manage executive priorities across multiple projects, site operations, and stakeholders.
Qualifications & Experience
Bachelor’s degree in Business Administration, Management, Engineering, or a related field
5–10 years of experience as an Executive Assistant or similar role
Prior experience in construction, infrastructure, or road projects will be an added advantage
Familiarity with construction documentation, project workflows, and coordination processes preferred
Skills & Competencies
Strong organizational, coordination, and multitasking skills
Excellent written and verbal communication abilities
Proficiency in MS Office (Word, Excel, PowerPoint)
High level of professionalism, discretion, and attention to detail
Ability to work under pressure and meet tight deadlines
Strong follow-up and stakeholder management skills
Experience Requirements:
Key Responsibilities
Manage executive calendars, appointments, site visits, travel arrangements, and meetings
Draft, review, and manage correspondence, reports, presentations, and official documentation
Coordinate with project managers, engineers, consultants, contractors, and government authorities
Track project schedules, deadlines, and action items; prepare periodic status and progress reports
Organize meetings, prepare agendas, record minutes of meetings (MoM), and follow up on decisions
Maintain and organize project documentation including contracts, BOQs, approvals, and compliance records
Assist in preparation and submission of tender documents and regulatory paperwork
Support basic financial coordination including invoice tracking, approvals, and expense monitoring
Arrange logistics for site visits, inspections, and official meetings
Ensure strict confidentiality of company, project, and executive-level information
