Job Summary

We are seeking a detail-oriented Order Processing Specialist to manage the end-to-end order lifecycle, ensuring accurate and timely processing of sales and purchase orders. The role requires close coordination with internal teams such as Sales, Logistics, and Finance, as well as external customers and suppliers. The ideal candidate will contribute to process improvement initiatives, resolve order-related issues efficiently, and maintain high standards of accuracy and compliance.

Experience Requirements:

Key Responsibilities

Receive, review, and accurately process sales and purchase orders with strong attention to detail.

Coordinate with Sales, Logistics, and Finance teams to ensure timely order fulfillment and compliance.

Ensure correct payment terms (Open Credit, LC, PDC, Advance, SCF) are applied as per approved credit policies.

Manage order amendments, cancellations, discrepancies, and delays promptly.

Ensure all required documents and instructions are attached and uploaded in the workflow system.

Verify customer and supplier documentation including trade licenses, commercial registrations, and VAT certificates prior to order processing.

Issue purchase orders within defined timelines from sales order creation.

Maintain accurate and up-to-date records in the ERP system, including supplier creation and order status updates.

Build strong communication with internal and external stakeholders to achieve high service levels and minimal customer complaints.

Periodically review orders and clear long-pending or inactive entries in a timely manner.

Skills, Competencies & Attributes

2–3 years of experience in order processing, procurement, or documentation roles.

Strong knowledge of Incoterms, international payment terms, shipping terms, shipment modes, and related documentation.

Basic understanding of VAT and applicable taxes.

Ability to interpret customer orders, supplier quotations, contracts, and associated commercial risks.

High accuracy, timeliness, and strong documentation handling skills.

Well-organized, adaptable, and capable of prioritizing tasks in a fast-paced environment.

Strong interpersonal and problem-solving skills.

High level of integrity, dependability, and adherence to policies and procedures.

Willingness to learn continuously and take ownership of responsibilities.

Qualifications

Bachelor’s degree in Commerce (B.Com), Business Administration, Supply Chain Management, Logistics, Procurement, or a related field preferred.

Professional certifications such as CPSM, CSCP, CPIM, CPP, Order Fulfillment Specialist, or Customer Order Specialist certifications are an added advantage.
