Job Summary
The Admin Executive will be responsible for managing and supervising the day-to-day administrative and operational activities of the school. The role requires a proactive, responsible, and hands-on professional capable of ensuring smooth campus operations, vendor coordination, facility management, transport coordination, administrative supervision, and government liaison activities.
The ideal candidate should be comfortable handling both office-based and field-based operational responsibilities, including vendor follow-ups, asset management, petty cash handling, logistics coordination, and operational support during school events and activities.

Key Responsibilities
Administrative & Operational Management
Lead and manage day-to-day administrative and operational activities in coordination with management and support teams.
Ensure smooth functioning of campus administration, utilities, and operational processes.
Maintain discipline, operational efficiency, and timely resolution of administrative issues.
Vendor & Government Coordination
Coordinate with vendors and suppliers for procurement, maintenance, repairs, deliveries, and service-related activities.
Follow up on pending work orders, AMC renewals, maintenance schedules, and vendor timelines.
Handle liaison work with government offices and authorities including:
RTO
Municipal Corporation
Fire Department
Electricity Board
Other statutory bodies
Asset & Inventory Management
Maintain and monitor asset registers including:
Furniture
Equipment
IT Assets
Consumables
Inventory records
Ensure proper documentation and tracking of school assets and stock.
Petty Cash & Documentation
Handle petty cash management, expense vouchers, and administrative records.
Coordinate with accounts for timely submissions and reporting.
Maintain courier records, document dispatch registers, and correspondence records.
Logistics & Facility Coordination
Supervise housekeeping, maintenance, security, and support staff.
Coordinate school transport scheduling and operational logistics.
Ensure classrooms, common areas, and campus facilities remain functional and properly maintained.
Event & Operational Support
Support arrangements for:
School events
Parent meetings
Sports activities
Administrative programs
Inspections
Manage urgent operational and field-related tasks including:
Bank visits
Document submissions
Material pickups
Vendor coordination
Reporting & Coordination
Provide regular operational updates and reports to management.
Coordinate effectively with different departments for smooth operational execution.
Assist HR teams with onboarding documentation and administrative support when required.
Educational Qualifications
Mandatory
Graduate in any discipline.
Basic computer proficiency in:
MS Word
MS Excel
Email communication
Valid two-wheeler driving license.
Preferred
Four-wheeler driving license.
Master’s Degree in any discipline.
Experience Required
3–5 years of administration experience.
Prior experience in a school, college, or commercial establishment preferred.
